Step 1: Convert Sample to Product
Typically, a vendor will send you a quotation within Loupe containing newly uploaded samples.
Open the live quotation that your team was sent and select the check boxes of items that you would like to move forward with. Press Click for Actions > Add to My Samples.
Note: you can also start the workflow from Samples > Search, bypassing the quotations step.
From My Samples, you can choose items that you would like to add to your Linesheet by selecting individually or by clicking Select All and then pressing Click for Actions > Convert to Product.
Note: to bring multiple items through to the Linesheet at one time, they must be of the same Type, i.e. Rings, Earrings (use your filters to refine by Type)
You will be asked to select whether you would like to convert the selected samples to the Linesheet as Purchase Method Asset or Memo
Note: if Memo is selected, the Asset row will still be created on the Linesheet but placed directly in the ‘Archived’ tab
Step 2: Change the Linesheet status to confirmed
Once items are in your Linesheet, and you are ready for the vendor to complete a Cost Submission, change Linesheet Status to Confirmed.
Changing Linesheet Status to Confirmed by Batch Action:
Select multiple items at one time by checking the boxes at line level, then click Click for Actions and select ‘Change Linesheet Status’ and change to Confirmed.
Changing Linesheet Status to Confirmed Individually:
Click the edit pencil to the left of each item. This will open the edit modal and within the SKU tab, you will see a dropdown called Linesheet Status.
By clicking the dropdown, you can change the status to Confirmed.
Note: Once you have changed your Linesheet Status to Confirmed, the vendor will receive a notification to complete the Cost Submission.
Step 3: Cost Submission
Once an item is in Confirmed status, the vendor will be able to edit and submit the Cost Submission.
On your Linesheet, the Buying and Sourcing Approval Status will be in Not Submitted Status.
To remind your vendor to complete a Cost Submission, navigate to the Cost Analysis tab, scroll down, and click the Request Completion button.
This will trigger a notification to the vendor to complete the Cost Submission.
Step 4: Cost Approval - Buying team
Once the vendor has submitted the Cost Submission, Buying & Sourcing Approval Status will show as Submitted on your Linesheet.
The next step is to analyze the information provided by the vendor in the Bill of Materials tab and then to approve the Cost Submission in the Cost Analysis tab.
In the Cost Analysis tab, there is a section on the right titled Approval Status. Click Change Status and then select Approve.
Step 5: Cost Approval - Sourcing Team
After buyer approval, the item will show Buying Approval Status as Approved and the Sourcing Approval Status as Submitted in your Linesheet.
You can also view the Buying & Sourcing Approval Status in the Cost Analysis tab of your Product
Note: The sourcing team will filter by Buying Approval Status = Approved to know which items they should review.
Step 6: Complete RDT
Enter the relevant Purchase Method item via the link in the Linesheet to view the item Product Detail Page. Next, navigate to the Retail Data Tab and complete all required fields.
Note: you can start to complete the Retail Data Tab as soon as you have received a cost submission from your vendor; it must be complete before you Request SKU.
Step 7: Request a SKU
After the Retail Data Tab is complete, click the Request SKU button.
Important Note: Buying & Sourcing Approval must = Approved and your Retail Data Tab must be complete before you click request SKU
The IT team will now return a SKU. If you receive a SKU error or have been waiting for more than two days for the SKU to return, please contact your IT Team.

Tracking Changes with the Activity Log:
Step 1: Access the Activity Log
Find the Activity Log to the right of the Retail Data Tab on every Product Detail Page (excluding sets).
You will find each activity separated in boxes that are in order from newest at the top to oldest at the bottom.
Types of Changes
1. Automated Changes:
Tether to Grid: Changes resulting from Tether to Grid being turned on are listed as Automation events.
Vendor Updates: Updates made by vendors to the bill of materials resulting in Withdrawal are also listed as Automation events.
2. Manual Changes:
Any update in costing, bill of material, or status to the Cost Submission made manually is stated as manual.
Versioning
A version represents a snapshot of a product's cost and specification data at a specific moment.
Activities generating a new version are specified, ensuring a common historical record for vendors and retailers.

All modifications are highlighted for easy identification, aiding informed decision-making.
Using Comparison Mode
Click on "Compare with current" hyperlink in the event from the activity log tab.
A new page will open, detailing the date and creator of the version being compared.
Hover over highlighted fields to view original values, facilitating understanding of changes.
By following these steps, you can effectively use the Activity Log and Comparison Mode to track and review changes in Cost Submissions in Loupe.

Step 1: Access the Activity Log
Find the Activity Log to the right of the Retail Data Tab on every Product Detail Page (excluding sets).
You will find each activity separated in boxes that are in order from newest at the top to oldest at the bottom.
Types of Changes
1. Automated Changes:
Tether to Grid: Changes resulting from Tether to Grid being turned on are listed as Automation events.
Vendor Updates: Updates made by vendors to the bill of materials resulting in Withdrawal are also listed as Automation events.
2. Manual Changes:
Any update in costing, bill of material, or status to the Cost Submission made manually is stated as manual.
Versioning
A version represents a snapshot of a product's cost and specification data at a specific moment.
Activities generating a new version are specified, ensuring a common historical record for vendors and retailers.
